Reserve A Room for Your Event

Room reservation requests must be submitted 14 days in advance of the proposed event. This system is only for use by Howard University faculty and staff.

Event Room Terms & Conditions

The Founders Library and UGL have rooms and spaces that are available, on a limited basis, to faculty and staff for Howard Universty events. 

Library spaces are normally scheduled on a first come, first served basis. Priority scheduling is extended to campus administration and initiatives and programs that support student success.

Please note that failure to comply with these policies and procedures will result in a warning. Further infractions will result in immediate suspension of facility use privileges for six months from the date of infraction.

 

Limitations

  • Library spaces cannot be reserved for regularly scheduled class meetings or instructor office hours.
  • Rooms may not be used if they have not been booked in advance via the online form
  • Changes in room setup may not be possible without sufficient advance notice.
  • Rooms cannot be reserved on the weekends.
  • Rooms cannot be reserved outside of library opening hours.

Eligibility to Book Rooms

  • No department, program or employee may reserve space on behalf of another department, program, or individual.
  • Reservations may not be sold, subleased, or transferred.
  • The department, program, or individual reserving the space must be the primary organizer and sponsor of the event and will be responsible for all charges.
  • Students and student organizations are only eligible to book individual and group study rooms.
  • Rooms are not available to organizations or individuals not affiliated with Howard University.

 

Supervision

A Howard University staff or faculty member who is the designee of the primary organizer must be present during the entire event.

 

Food

Events may include catering in accordance with University Catering policy. Individuals who bring in food for non-catered events must clean up after themselves. Failure to do so will incur a cost charged to the reserving organization in addition to possible suspension of library space use privileges.

 

Technology Support

All the rooms listed above have audio-visual equipment available for use. Computers and cables must not be unplugged, and computer settings must not be changed. Please turn off audio-visual equipment at the conclusion of your event.

The library provides limited technical support. It is required that you arrange in advance of your scheduled reservation a trial of your presentation or audio-visual materials to ensure that it is compatible with the available equipment provided in the meeting or event space. User Responsibilities

Please be responsible for the cleanliness of your reserved space to avoid a potential custodial fee. All liability for damage to the equipment, furniture, or technology in the library’s rooms is the responsibility of the department, school/college, or unit reserving the space. If Custodial Services need to be called for cleaning or repairs, the fees for these services will be charged to the department, school/college, or unit reserving the space. 

Library Administration must be notified as soon as possible of cancellations so that rooms can be reserved by others.

Study Room Policies

Reservations

  • Study rooms are reserved online
  • Study rooms may only be reserved by Howard University students.
  • Study rooms may not be used for commercial or commerce-related activities.
  • Study rooms may be reserved up to twice a day up to 2 hours per day (minimum reservation time 1 hour).
  • It is possible to reserve a study room for two separate one hour bookings.
  • Reservations can be made consecutively but cannot exceed the 2 hours per day maximum reservation limit

Occupancy

  • Two or more people constitute a group for purposes of using a group study room. However, one person may also reserve a study room.
  • Only one person or group can occupy a study room at a time.
  • Study room reservations that are not confirmed via email after 15 minutes will be cancelled.

Privacy

  • Study room privacy is not guaranteed.
  • University Libraries staff reserve the right to enter any group study room at any time without prior permission of the occupants.
  • Any obstruction of doorways is prohibited
  • Occupants may not post signs (e.g. Occupied, Do Not Disturb, Keep Out, etc.)

Behavior

  • Occupants must conform to the University's policies for personal conduct and the Library Community Standards and Expectations.
  • Smoking, sleeping, cooking, card playing, partying, painting, loud music, and/or any other activities disruptive to others are prohibited.
  • Earbuds are encouraged.
  • Noise levels from any conversations and/or equipment must not disturb others (this includes the office or study room adjacent to you)

Personal Property

  • Neither the Library nor the University is responsible for unattended, lost, stolen, or damaged personal items.
  • Unattended personal property may not be used to "hold" a room by any individual or group.
  • Unattended personal property left in an unoccupied study room may be removed by library staff and taken to the Library's lost and found (located at the desk).

Safety

  • Occupants are prohibited from using any equipment that may cause a safety hazard (e.g. extended electrical cords, cables, cooking appliances, etc.)
  • Furniture cannot be moved into or out of a study room.

**Failure to adhere to the above guidelines on 2 or more occasions will result in the person(s) occupying the study room to be banned from study room reservation privileges for 2 weeks (14 days).
